PMO Analyst

Role Description

Reporting to the PMO Delivery Manager the primary role of PMO Analyst is to deliver and enhance the PMO services covering: business case review, including benefits, costs and risks; project audits; post implementation reviews; people development, mentoring and facilitation of organisational learning; schedule management covering forecasting, multi-project scheduling and planning to address project and resource interdependencies; project status, performance and resource utilisation reporting and the GPG project knowledge centre covering, documentation, tools, standards, lessons learnt and administration.

Additional responsibilities include;
· Assisting the PMO Delivery Manager with defining and updating the in-house project management processes, standards and governance (The Delivery Framework), assisting Project Managers on large projects, contributing to quality reviews, and coordinating activities in support of quality objectives;
· Providing project support, when this is the case this will include, amongst other things, ensuring project plans and project documentation are complete and up-to-date, providing regular project status updates, helping acquire the necessary resources and skills, and contributing to the delivery of business benefits.

Key Accountabilities :

· 1. Support the process of work intake into the GPG ensuring the requisite governance process and documentation is followed;

· 2. Support the process of the integration of project information into the PMO, facilitating identification, awareness and monitoring of key interdependencies and constraints impacting the project, referring any risks or issues to the Portfolio Manager and the PMO team for awareness/action;

· 3. Help and support in ensuring the GPG projects and programmes produce the required deliverables to required standards or quality within specified constraints of time and cost;

· 4. Follow existing standards, guidance and the Clifford Chance Delivery Framework assisting in the development of new and existing standards and guidance for initiation, planning, management, control and delivery of programmes and projects;

· 5. Follow existing risk management and quality assurance disciplines and reporting to support the PMO in ensuring process adherence;

· 6. Undertake assurance review processes as required;

· 7. Support the coordination, consolidation and provision of periodic status and financial reporting;

· 8. Support the PMO in maintaining programme and other key management information reports and assist in preparing those with the PMO;

· 9. Support the PMO with monitoring and maintaining effective change control mechanisms for the project and/or programme;

· 10. Support the PMO in maintaining and developing the methods used to identify and report on cross programme risks, issues, milestones, dependencies and resourcing;

· 11. Assist in tracking project deliverables and associated project documentation and facilitate operation of effective configuration management standards and audit trail;

· 12. Support the PMO in tracking project benefit delivery and facilitate operation of benefits realization and communication;

· 13. Support the PMO in undertaking lessons learnt reviews identifying trends and ensuring the capture, storage and application of lessons learnt;

· 14. Support the PMO in maintaining project folders/structures, project document repositories, and best practice records;

· 15. Support the PMO in providing support, guidance and coaching to the project delivery team through the maintenance and enhancement of project management guidance, standards, documentation and the Clifford Chance Delivery Framework;

· 16. Responsible for the administration and support of core GPG platforms and repositories. This includes maintaining intranet, project sites, managing user access and the core project management tool Clarity;

· 17. Manage the induction of new department members;

Skills & Experience

· 1. Experience of working within a PMO;

· 2. Experience of working directly with people in Delhi and the United Kingdom;

· 3. Experience of enterprise PPM tools, Clarity preferred;

· 4. One or more recognised portfolio, programme or project management qualifications, e.g. PRINCE2, MSP, P3O, M_o_R, PPSO, APM PMQ or RPP, PMP or PMI.

5. The role incumbent will possess the following skills and knowledge, preferably practiced in a law firm or other similar professional services company:

· 6. Minimum two years' experience working within a PMO environment with Prince2, MSP, Agile Project Management or other recognised project management qualifications;

· 7. Experience of producing high quality documentation, briefing papers, reports and presentations ;

· 8. Strong interpersonal and communication skills (verbal, written and presentation) with the ability to communicate with and influence people at different levels of the organisation;

· 9. Ability to challenge constructively whilst maintaining excellent working relationships within the programme community and with stakeholders;

· 10. Experience implementing and embedding new ways of working;

· 11. Advanced knowledge and experience of Microsoft packages, including Project, PowerPoint, Word and Excel;

· 12. A strong ability to think through problems from different perspectives then develop solutions alongside obtaining buy-in from the relevant stakeholders;

· 13. Exposure to the end to end project lifecycle, or experience of programme co-ordination and of managing projects.
